Lights, camera, no time for inaction because we are looking for someone to keep the lights on at our hubs in Tallinn!

Are you a natural prioritizer, capable of juggling a well-balanced budget spreadsheet and a screwdriver for fixing things around the office? Do you have the organizational skills of Marie Kondo?

Then you just might be the Office Hero we’re looking for!

  • An eye for detail and a knack for improvising. Notice the small things that need attention and updating, in order to keep our hubs in tip-top shape not just today but down the line as well. Since unexpected issues are not as unexpected as you might think, be ready to think on your feet as well.

  • Keep up with the startup scene. You know who is who in the local startup community and what’s happening. It comes in extremely handy when searching for opportunities for cooperation and making the stars align.

  • High initiative and perception. Be proactive in identifying and addressing potential problems before they escalate. Keep open lines of communication with team members, hub members, and external vendors to ensure clarity. Proficiency in English and Estonian comes in handy here!

  • First-class service and support. Provide assistance to hub members, ensuring their workspace needs are met, addressing any concerns promptly. As we are in the business of LIFTing people higher, we want to always offer more than expected.

  • You care about results and progress. Keeping the 80/20 principle in mind, you do things and make sure they are done well every time.

  • Prioritization and task management. Be welcoming toward new ideas and tasks coming in, while maintaining a balance between personal and team-wide priorities. Keep track of short and long-term project goals.

  • Trustworthy, respectful, welcoming, a good listener, (dog)friendly

  • Celebrate and notice small wins every day.

What will be your main tasks?

  • Managing the physical space. Ensure that the hub remains a welcoming and fully functional environment. This includes knowing all the rooms, corners, kitchen appliances of the hub, overseeing amenities orders, coordinating with service providers, and ensuring all facilities are up to standard. Handy with a drill or hammer? Perfect, because occasionally minor repairs and maintenance tasks do pop up.

  • System maintenance - Monitor and maintain technical systems such as WiFi, lighting, heating, and access control systems, ensuring they are operational at all times. Communicating and managing relationships with service providers and suppliers to ensure seamless operations. Find solutions and upgrade to new opportunities where expected.

  • Financial finesse - Compile and manage budget spreadsheets, ensuring all expenses are tracked and within budget - future planning and past reviewing - learn from experience. Whether or not you know what “unit economics” are or the basic difference between income tax and value added tax, you’ll get some practice with us. Monitor and control expenses, finding efficient and cost-effective solutions. Ideas for extra income is a plus.

  • Run Office Operations - handle service providers, manage co-working space software (update where and when needed), emails, Slack channels, coordinate package deliveries, visitor management, readiness for new members.

  • In-house intricacies - from making sure that we’ve got enough coffee, snacks, office and kitchen supplies to keeping the space and our events organized.

  • Live, love, LIFT99 - as a team member, you will be one of the go-to people and recognizable faces of LIFT99 Tallinn - welcoming guests, taking visitors on tours and meeting other Estonian startup ecosystem members.
